Responsibilities:
As a Filling Clerk, you will play a critical role in ensuring the smooth operation of our document management system. Your responsibilities will include:
- Document Organization: Sort, organize, and maintain office records with precision. Your role will involve managing both physical and digital documents.
- Filing Process: Streamline and maintain the filing process, ensuring that documents are easily accessible and accurately filed.
- Material Handling: Check all incoming materials and categorize them either based on content or alphabetically to maintain order.
- Document Logging: Properly file and log all new documents into the system to ensure they are up-to-date and easy to locate.
- Handling Inquiries: Address all queries related to paperwork and documents, providing effective and timely responses.
- Document Structuring: Manage document structuring to facilitate easy retrieval and maintain an organized filing system.
- Record Maintenance: Keep accurate records of all documents filed and removed, ensuring that nothing is misplaced.
- Periodic Inspections: Regularly inspect the filing section to ensure that records are properly categorized and maintained in good condition.
- Storage Management: Take necessary steps to place documents in appropriate storage receptacles to protect their integrity.
- Outgoing Files: Maintain a log of all outgoing files to ensure they are returned on time.
- Digitization: Digitize necessary documentation and store it in electronic systems to support efficient record-keeping and retrieval.
- Logical Classification: Classify information logically based on its use, content, and purpose to facilitate quick and easy access.
