Main Purpose of the Job

The primary responsibility of this role is to accurately and timely capture patient and research study data into both electronic and manual databases. This critical position ensures the integrity and accuracy of our data, which is essential for our research and patient care efforts.

Key Performance Areas

  • Data Collection: Receive participant files from clinicians for data capturing. Identify missing data, inconsistencies, and errors, and follow up or report as necessary.
  • Confidentiality: Capture and handle confidential research information with utmost discretion.
  • Data Verification: Compare data entered with source documents, making necessary corrections to information entered.
  • Data Consolidation: Identify and consolidate duplicate patient files in both electronic and manual formats.
  • Demographics Update: Update patient demographic information regularly.
  • Lab Results: Capture patient blood results from the lab and ensure they are accurately recorded.
  • Accuracy and Completeness: Identify data errors, make corrections, and ensure completeness and accuracy according to protocol.
  • Participant Files: Maintain and update participant files and ensure an effective and efficient filing system.
  • Reporting: Distribute daily, weekly, and monthly data and reports to relevant team members. Participate in the generation of required donor reports.
  • Administrative Support: Provide administrative support including copying, faxing, and archiving.
  • Meetings and Training: Participate in monthly M&E team meetings and other training sessions as required.
  • Self-Management: Take ownership and accountability for tasks, demonstrating effective self-management.
  • Quality and Standards: Follow through to ensure quality and productivity standards are consistently met.
  • Feedback and Communication: Maintain a positive attitude and respond promptly to feedback.
  • Additional Responsibilities: Drive on career development opportunities.

Required Minimum Education and Training

  • Education: Grade 12 with basic computer and typing skills.
  • Experience: Minimum of 1 year of experience in data capturing or administration.

Required Minimum Work Experience and Abilities

  • Technical Skills: Proficient in data capturing and administration. Good understanding of data handling and management practices.
  • Computer Skills: Proficiency in Microsoft Office and database packages.
  • Communication: Strong written and verbal communication skills.
  • Organizational Skills: Excellent organizational and time management skills.
  • Compliance: Ability to follow strict compliance procedures.
  • Adaptability: Flexibility to adapt to changing priorities and work in a multidisciplinary team.

Desirable Additional Education, Work Experience, and Personal Abilities

  • Software Skills: Experience working with database software and advanced Microsoft Office skills.
  • Professionalism: Maintain a professional and positive demeanor. Ability to work independently and as part of a team.
  • Problem-Solving: Strong problem-solving skills and the ability to troubleshoot data issues effectively.
