About the Role:

As a Frontline Services Specialist, you’ll be the face and voice of our organization, providing top-notch reception and administrative support. Your role will be critical in maintaining a professional and welcoming environment for visitors and callers alike. Key Responsibilities:

1. Reception and Frontline Services

  • Welcome and Assist Visitors: Greet all visitors with a warm, professional demeanor, ensuring they feel valued and attended to.
  • Maintain a Clean and Organized Reception Area: Keep the reception area tidy and presentable at all times, creating a positive first impression.
  • Visitor Management: Ensure all visitors sign in and are directed to the appropriate personnel or departments.
  • Hospitality: Provide refreshments to visitors when necessary, ensuring their comfort while they wait.
  • Communication: Inform visitors of estimated waiting times and keep them updated on any delays.

2. Switchboard Operations

  • Efficient Call Handling: Answer incoming calls promptly and direct them to the correct departments or individuals.
  • Call Screening: Screen and transfer calls with accuracy and professionalism.
  • Message Management: Take detailed messages and relay them promptly to the relevant parties.
  • Professionalism: Ensure all calls are handled courteously, reflecting the organization’s values and standards.

3. Administrative Support

  • Log Maintenance: Keep accurate records of all visitors and calls received.
  • Document Handling: Assist with photocopying, scanning, and binding documents as needed.
  • Mail Distribution: Distribute incoming mail and internal documents to the appropriate departments.
  • General Administration: Provide support for frontline operations by handling various administrative tasks efficiently.

4. Operational Excellence and Compliance

  • Corporate Image: Uphold the corporate image and values of the organization in all interactions.
  • Maintenance Reporting: Report any maintenance issues affecting reception services to ensure a smooth operation.
  • Security Procedures: Follow and enforce security protocols at the reception area to safeguard the premises.
  • Equipment Troubleshooting: Handle basic troubleshooting of office equipment to minimize downtime.

5. Optimization of the Unit

  • Efficiency: Manage incoming calls and visitor interactions with speed and accuracy.
  • Stakeholder Feedback: Gather and act on feedback to continuously improve service levels.
  • Timely Dissemination: Ensure messages and documents are delivered promptly and accurately.
  • Compliance: Adhere to corporate reception and customer service standards at all times.

Requirements:

  • Education: Matric or equivalent certification (NQF level 4).
  • Experience: 1-2 years of experience in a reception, customer service, or administrative role.
  • SETA Knowledge: Experience or knowledge of the SETA environment is an added advantage.
