Key Responsibilities
As an Administration Assistant at Rand Water, your day-to-day duties will revolve around managing, coordinating, and facilitating the internal processes of the Rand Water Institute. Below is a detailed breakdown of what you’ll be responsible for:
1. Administrative Coordination
- Oversee and coordinate activities between Institute Support Services and other departments across Rand Water.
- Maintain consistent communication to ensure effective information flow.

2. Relationship Management
- Assist in building and maintaining strong relationships with internal teams, external partners, and key stakeholders.
- Handle correspondence and communications in a professional and timely manner.
3. Meetings and Documentation
- Organize and coordinate meetings, ensuring all logistics and documentation are in order.
- Take accurate minutes during meetings, distribute them promptly, and ensure follow-up actions are tracked.
- Assist with the preparation of presentations, reports, and briefing documents as required.
4. Project and Programme Support
- Assist in the coordination of RWI programmes and projects, including scheduling, progress tracking, and documentation.
- Help with the screening, prioritization, and scheduling of new initiatives.
- Support teams in maintaining project registers and compliance records.
5. Risk and Compliance Management
- Ensure that the operational risk register is regularly updated and maintained.
- Keep the contract register current, ensuring accuracy and compliance.
- Coordinate and monitor administrative aspects related to Intellectual Property (IP) within the institute.

Minimum Requirements
- Education: Matric (Grade 12) is essential.
- Post-Matric Qualification: A diploma or certificate in Office Administration, Business Management, or a related field.
- Experience: At least 2–4 years of general office administration experience.
- Technical Skills:
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong typing accuracy and document management skills.
- Capable of managing diaries, travel arrangements, records, and meeting logistics.
- Communication: Excellent verbal and written communication skills.
- Organizational Skills: Able to plan, prioritize, and manage multiple tasks effectively.
