Key Responsibilities
As a Human Resources Intern, you will provide essential administrative support to our HR team, assisting with a wide range of tasks and responsibilities. Your role will be pivotal in ensuring the smooth operation of HR processes and helping us maintain high standards of service. Some of the key areas you’ll be involved in include:
- Contract Management: You’ll compile contract renewals and handle administrative tasks related to transfers, promotions, retirements, and changes in working conditions. This also includes preparing maternity leave agreements and certificates of service.
- HR and Payroll Support: Your responsibilities will include collating relevant information and input for HR and Payroll, such as timesheets and starter packs. You’ll ensure that all data is accurate and up to date.
- Database Management: Maintaining and ensuring the accuracy of HR databases, spreadsheets, and records will be a critical part of your role. You’ll play a key role in safeguarding data integrity at all times.
- Personnel Files Maintenance: You’ll maintain personnel files to ensure the availability of information and uphold data integrity for audit purposes.
- Termination Processes: You’ll assist with processing employee terminations, ensuring that all contracts are concluded appropriately, and updating records as necessary.
- Recruitment Support: From screening applications to scheduling interviews, you’ll support various recruitment activities. You’ll also prepare interview packs, conduct qualification checks, and manage reference checks.
- Communication and Correspondence: You’ll prepare regret letters for all short-listed candidates and assist with queries related to recruitment offers and employment contracts.
- Probation Management: Ensuring that probation appraisals are done on time and assisting with post-probation interviews will be part of your duties.
- HR Administration: Generating all required HR administration within deadlines will be essential to keeping our operations running smoothly.
What We’re Looking For
- Educational Background: A degree or diploma in Human Resources is required.
- Work Experience: While we value your educational background, we also look for a minimum of one year of working experience in a Human Resources Generalist role. This experience will give you a solid foundation to build upon during your internship.
- Attention to Detail: The ability to focus on details and ensure accuracy in all tasks is crucial.
- Teamwork: You’ll need to work effectively within a team, collaborating with colleagues to achieve common goals.
- Communication Skills: Good communication skills are essential, as you’ll be interacting with various stakeholders and ensuring that information is conveyed clearly and accurately.
- Time Management: The ability to work under pressure and meet tight deadlines is important. You should also be comfortable with multitasking and managing multiple priorities.
