Key Responsibilities:

Office Management:

  • Conduct daily administrative functions to keep the office running smoothly.
  • Oversee the ordering, issuance, and stock-taking of stationery and groceries.
  • Address any order and delivery discrepancies promptly and efficiently.

Human Resources Support:

  • Manage the office leave planner and maintain up-to-date leave records.
  • Assist in timekeeping and payroll processes using the Easy Roster system.
  • Ensure all personnel records are comprehensive and secure, including personal data, tax information, and attendance records.
  • Provide necessary HR documentation during audits and maintain ongoing updates on employee status changes.

Fleet Administration:

  • Maintain meticulous records of all company vehicles, including accident logs, fuel card distributions, and maintenance records.
  • Ensure all vehicle documentation such as licenses and E-tags are current and accessible.
  • Coordinate with transportation providers regarding leased vehicle management.

Creditor Liaison:

  • Verify the accuracy of invoices and delivery tickets.
  • Handle the capturing of invoices in systems like SAP and coordinate with the head office for timely payments.

Health and Safety Regulations:

  • Engage in the creation and monitoring of safety plans.
  • Actively participate in safety meetings and educational programs, ensuring compliance with safety policies and procedures.

Skills and Qualities Required:

  • Minimum of a Matric certificate with at least 2 years of experience in office administration.
  • Proficiency in Microsoft Office and familiarity with SAP or similar platforms.
  • Outstanding organizational skills and attention to detail.
  • Excellent communication abilities and a knack for problem-solving.
  • Proficiency in handling high-pressure situations, meeting strict timelines, and upholding confidentiality.
