Key Responsibilities

As an Administration Clerk within the Primary Health Care Directorate, you will play a critical role in ensuring that the clinic operates efficiently and that patient records are maintained accurately.

  • Patient File Management: Open new patient files and maintain proper records management systems. Ensure accurate filing and retrieval of folders to support smooth clinic operations.
  • Patient Assistance: Direct patients to relevant service points, assist with registration, and manage patient admissions.
  • Data Management: Capture and maintain accurate patient data on the clinic’s computer system. Record admission statistics, waiting times, and patient results.
  • Appointment Scheduling: Book patients for clinic appointments, ensuring timely and organized scheduling.
  • Collaboration with Data Capturers: Work alongside data capturers to collect and verify daily data, ensuring high-quality data management.
  • Administrative Support: Perform general administrative tasks, including sorting patient records, filing, record keeping, and supporting other staff with daily operational tasks.
  • Supervisor Support: Execute other duties delegated by your supervisor or manager, demonstrating flexibility and teamwork in a dynamic clinic environment.

This role requires an individual who can work independently, manage multiple tasks under pressure, and maintain excellent interpersonal relationships with colleagues and patients alike.

Minimum Requirements

  • Educational Qualification: Grade 12 certificate or equivalent is required. A Diploma or Degree in Public Administration or Public Management will be an added advantage.
  • Experience: Minimum of six (6) months’ experience in patient administration or a related field.
  • Computer Literacy: Must be proficient in Microsoft Word and Excel, and able to accurately capture data electronically.
  • Availability: Willingness to work weekends and night shifts as required.
